Leadership Prince William is hiring a full-time Program and Administrative Assistant. The job description is given below and and an application form is attached.

Executive Summary: Leadership Prince William (LPW) is a 501(c)3 nonprofit organization whose mission is to inspire and engage individuals, organizations and alumni in enriching our community through collaborative leadership.

The LPW Administrative and Program Assistant is our administrative, organizational and logistics support specialist. The Administrative and Program Assistant will assist LPW in achieving its mission through quality programs, events and activities. This is a full-time position with comprehensive benefits.

The Administrative and Program Assistant will report directly to the LPW Executive Director. Key responsibilities include handling day-to-day administrative duties, providing logistical support and coordination for our programs and events, managing our online communications tools, and working with our stellar group of volunteer alumni. The Assistant must be an organized, detail-oriented and flexible team player with strong computer skills.

Essential Functions:

Administrative Support

The Administrative and Program Assistant will support the Executive Director in LPW’s day-to-day administrative activities. He/she will create spreadsheets, presentations and database files; create and maintain contact lists; manage content on the LPW website and social media sites; manage phone, in-person, email and other contacts with public; input monthly income and expense data; handle administrative duties such as copying, collating, mailing and maintaining organizational records; prepare materials for Board and committee meetings; and create, revise and improve office systems and procedures.

Program and Event Assistance

Under the supervision of the Executive Director, the Administrative and Program Assistant will assist in coordinating programs and events to further the mission of LPW. This includes LPW’s Signature Program for adults, a two-week Summer Youth Academy, four annual special events and other special programs. The Assistant will be required to use Constant Contact and other online tools to manage event registration, event promotion and contact lists. The position requires selecting, purchasing, maintaining inventory and managing delivery of supplies and services for more than 20 programs/events per year. He/she will assist in planning, setting up, managing and tearing down at programs/events, often in coordination with LPW volunteers. He/she must be highly organized and adept at event logistics, working with volunteers and communicating with vendors/community partners.

Position Requirements

  • Administrative or office support experience required.
  • Experience with event logistics preferred.
  • Strong oral and written communication skills required.
  • Occasional evening and weekend hours required for special events.
  • Ability to exercise discretion and independent judgment required.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint and Outlook) required.
  • Experience with WordPress, Constant Contact, Facebook, Twitter and other social media strongly preferred.
  • Ability to lift up to 30 pounds.
  • High school diploma required. College degree preferred.
